My name is Sister Smith and I’m the Creative Arts Minister at Mountain of Faith Community Fellowship in Glenbrooke, Indiana.  I hope you remember meeting me this past weekend at the Midwestern Fine Arts – Prayer, Praise and Power conference.  We spoke briefly about our upcoming creative worship conference, March 15-16, 2013 here in Glenbrooke, and the possibility that you would teach for us.

I am very excited to hear from you as we have kicked off our planning and need to nail down the conference itinerary for distribution by November 15th.

Dear Sister Betty,

It was a pleasure to meet you this past weekend, and it is an honor to be asked to minister at your conference in March 2013.  I’d like to share with you the ministry requirement information for your consideration prior to a commitment.

As an overview, the conference host must cover all expenses:

  • Travel:  
    • Driving:  I prefer to drive to the conference location, IF it is within a four-hour drive from St. Louis, MO.  The standard travel rate of $150 would be required, to cover these travel expenses.
    • Flying:  If the conference site is further than a four-hour drive from St. Louis, MO, then pre-paid airfare would be required.
  • Transportation:
    • Driving:  I don’t mind providing my own transportation to and from the conference site, lodging site and eateries.
    • Flying:  a volunteer to provide transportation to and from the conference site, lodging site and eateries is very much appreciated.  I do ask that I arrive at the conference site 15-20 minutes prior to the start of the first teaching session each day.
  • Lodging:
    • Host Home: It would be my pleasure to stay in a private room in a host home if one is available. 
    • Hotel: If a host home is not available, then modest hotel accommodations should be provided.
  • Meals: 
    • Host Home:  a modest breakfast (fruit, yogurt, egg, etc.) is very much appreciated.  No need to provide a big breakfast.
    • Hotel:  a hotel with breakfast included is convenient.
    • Lunches & Dinners:  I am very happy to take meals ‘home made’ either at the conference site or in the host home, in other words, restaurant eating is not a requirement.  
      • I am gluten sensitive and must avoid pasta, breads, and cereals.
      • Example dishes:  Lunch:  chicken/tuna salad; soups; chef salads; veggies & fruit.  Dinner:  Meat Entrée, vegetables, etc.  Sweets:  Puddings, Jello, etc.
  • Honorarium:
    • A $250 per day honorarium is required.
  • Product Sales:
    • I would request that two tables be provided to display products.
      • I will manage the product sales during assigned breaks and will not disrupt the conference itinerary.
  • Session Options: (class size is limited to your space availability)
    • I can provide sessions in the following worship areas:
      • Dance Composition
      • Choreography Techniques & Tips
      • Artistic Worship
      • Creative Worship
      • Flags & Billows & Pageantry
      • Expressive Sign

Sister Smith, please review this information and let me know if you have any questions regarding the ministry requirements.  Once you have agreement with your leadership, let me know and we can discuss in detail about the conference/teaching agenda.

Dear Kristen,

Thanks so much for writing me so quickly!  I appreciate very much the detail that you provided and, I was able to meet with our committee this week.  We understand and agree to all the ministry requirements you covered and have outlined the following:

  • Travel:  Glenbrooke is within the four-hour driving distance requirement, so we will provide travel expenses of $150.
  • Transportation/Lodging:  We have identified a host home for you to stay in with a private bedroom and lovely hosts.  They will also transport you to all your destinations.
  • Meals:  (dietary restrictions will be accomodated)
    • The hosts will provide appropriate breakfast items both days.
    • Lunch will be provided at the conference site both days.
    • Dinner with the Pastors on Friday Evening.
    • Dinner with me on Saturday Evening.
  • Honorarium:
    • $250 per day honorarium is confirmed.
  • Session Options:
    • As of now we’d like to have the following offered each day:
      • Friday:
        • Artistic Worship – 1 hour session
        • Team Concepts – 1 hour session
        • Dance Composition – 1 hour session
        • Purposeful Pageantry – 1 hour session
      • Saturday:
        • Artistic Worship – 1 hour session
        • Unity in Motion – 1 hour session
        • Expressive Sign – 1 hour session
        • Weapons of Warfare – 1 hour session
  • Product Sales:
    • We will provide tables in our cafeteria for product sales.
    • Sales will be open before our first session, during lunch, and after our last session, both days.

As a reminder, the conference dates are March 15-16, 2013.  We are still designing our theme and complete agenda and will forward that information when it is finalized. We are looking forward to this time of training and ministry as we bring together several ministers in the worship arts to “equip the saints” to minister effectively in dance, drama, music and art!

Dear Sister Betty,

It was so good to hear from you and I have confirmed March 15-16, 2013 on my schedule.  I am also very excited to see all that God will do during this conference!  

The accommodations you have identified sound really great and the agenda you have drafted above is fine. 

I will touch base with you about one month prior to the conference and then again two weeks out just to make sure we have covered all our bases.  

Until then my prayer for you is this - May the Lord lead and guide your steps as you seek His will for this divinely appointed time.  Amen.
